How much does a hotel UGC collaboration cost?

A hotel UGC collaboration costs more than the quoted price of its videos. A complete budget includes creation, the stay, travel, rights, coordination and any paid distribution.
There is no universal rate to multiply by the number of Reels. A single delivered video with no creator posting is not equivalent to a hosted stay, several edits, audience distribution and advertising rights.
Use a common scope before comparing prices.
Define comparable deliverables
Prepare the same brief for every quotation:
- number of final videos and indicative length;
- formats and languages;
- essential scenes;
- versions and included revision rounds;
- any posting on the creator’s account;
- permitted channels and usage period;
- travel, accommodation and included services.
Specify whether you need raw footage. Receiving and reusing raw files is not automatically part of buying a final edit.

Separate six budget categories
Production covers preparation, filming and editing. An extra scene might require another visit, rather than a few more minutes in editing software.
Accommodation involves room servicing and any included amenities. Identify expenses that are genuinely additional to normal operations.
Travel includes what you have agreed to cover. Set a limit and reimbursement terms before confirming the assignment.
Rights define permitted uses. They may be priced separately or included, but the scope must still be clear.
Coordination covers your staff’s time and any platform or agency fees.
Distribution pays for campaign delivery. Buying a video file does not automatically provide an audience.
A complete worked example
This fictional example covers three videos for hotel-owned channels. Figures are shown excluding VAT to maintain a consistent calculation basis, not to assume that your business can recover all VAT.

Content costs before distribution total €1,240, or approximately €413 per delivered video. Including advertising, the test costs €1,540.
Those measures answer different questions. Do not present production expenditure alone as the complete cost of a campaign.
How should you account for hosted room nights?
A room advertised at €250 does not necessarily create €250 in incremental costs. Equally, a room that would otherwise have been sold is not cost-free.
For a management decision, distinguish:
- additional costs of hosting the creator;
- contribution potentially lost from a displaced booking;
- the valuation used in accounting documents.
The second is opportunity cost. Discuss it with your revenue manager when the stay could displace paying demand. Adding lost gross revenue without accounting for avoided costs would mix revenue and contribution.

Reduce scope without making the work unusable
Reduce the assignment before reducing clarity.
You might focus on one room category, commission fewer language versions or choose dates that are easier for the property to accommodate. Start with the uses you actually need instead of requesting every possible right.
Cutting necessary captions, permissions or review time can leave you with files nobody is comfortable publishing. A lower invoice is not useful if the deliverables cannot fulfil their purpose.

The question to ask before accepting a quote
Ask: “For this total, how many assets will we actually be able to use, where and for how long?”
Then compare complete costs, operational constraints and suitability. A low price is valuable only when the delivered content supports a use you have already planned.

Should room nights be valued at the public room rate?
Not for every purpose. Incremental operating cost, opportunity cost and the valuation used for accounting or invoicing are distinct measures.
Does production pricing include advertising rights?
Only if the quotation and agreement include them. Check channels, duration, territory, versions and renewal conditions before comparing prices.
